Whats On – Adding Multiple Performance Dates
This help guide outlines a how to use this great new feature and add or remove multiple performances to your events.

What Is This For?
The events and activities that you add via the What’s On module are able to contain many performances.
Perhaps you have an event that runs every Wednesday afternoon, an activity that runs every day in half term or a seasonal activity that runs every December.
Adding these individual performance dates can be time consuming.
The Add or Remove multiple performance dates button will allow you to add (or remove!) multiple event performances in one go.

Adding Multiple Performance Dates
Clicking the Add Multiple Events button will open an overlay where you can configure rules to add new dates.
This image shows an example of adding a performance date every Wednesday from 1st January 2023 until 1st January 2024.
You are able to select a start date and optionally start time (if the event you are adding these performances to does not run all day), and the interval you would like this event to repeat (Daily, Weekly, Monthly or Yearly).
You can then narrow down the specifics of when you would like the dates to repeat, for example every 2 weeks on a Tursday and Saturday. The specific fields available here will change based on the value of the How often does this event repeat? dropdown.
Finally you can choose how long you would like the repititions to continue. You might want events to repeat until a specified date or for a set number of performances.
Before you click the button to Add Dates we give you a brief breakdown of the performance dates your settings will add and a chance to review the dates individually.
🚨 Some Restrictions
Currently you can add up to 150 events at one time
You cannot add events more than 10 years into the future
An Example
Free swimming, every week day during the summer holidays

This year we’re offering a free swimming activity, every week day between 10am and 12pm, during the school holidays. We want this to be highlighted in the app but I don’t want to have to add many individual performance dates.
- The event is Not Bookable and not a paid event so I leave those settings.
- I uncheck the Is Event All Day box
- And set the runtime for 120 minutes (because we run for 2 hours from 10am – 12pm)
- I click the button to Add Multiple Events
- I set a start date of 24th July 2023
- And the start time of 10am
- We want to exclude weekends so I set the repeat frequency to Repeat Weekly
- Which allows me to specify that the event should repeat Mon-Fri every week
- I set the end date for the 4th September 2023
- And confirm that the dates I expected will all be added
An Example
Archery Lessons, Wednesday Mornings and Afternoons in May and June

In May and June we have archery lessons running twice every Wednesday. We would like them to be visible in the app and to direct visitors towards the booking page.
- The event is Bookable and is a paid event
- I enter the price for one lesson
- I uncheck the Is Event All Day box
- And set the runtime for 60 minutes (which is the length of one archery lesson)
- I click the button to Add Multiple Events
- I set a start date of 1st May 2023
- And the start time of 10am (which is when our morning lessons take place) we will add the afternoon lessons in a moment!
- We want to repeat the lessons every Wednesday so I select Repeat Weekly
- Which allows me to specify that the event should repeat every Wednesday
- I set the end date for the 30th June 2023
- I add the URL for our archery booking page
- And confirm that the dates I expected will all be added
- I click the button to Add Multiple Events again
- Our previous settings are all saved so to add the afternoon events I simply update the start time to 14:00
🗓️ Booking URLs
When adding multiple events with booking links you can optionally give them all the same booking URL – this is useful if you have a single page where visitors can book i.e. my-website.com/booking/archery
However if you need to give each performance a different booking URL you can add them individually after adding the performance dates

Removing Multiple Performance Dates
Clicking Remove Past Events will remove all performance dates (for the current What’s On event) that are in the past. This can be useful to keep your events pages more manageable, particularly if you have many repeating performance dates!
Clicking Remove All Events will remove All performance dates (for the current What’s On event) even those that have not occured yet. This can be useful if you’ve made a mistake when adding multiple dates, or if you’re changing dates for a regular event.
In both cases you will see a pop-up window confirming how many performance dates are about to be removed and asking you to confirm your choice.
For Example, Bingo is moving from Wednesday evenings to Friday evenings but we already have a whole years worth of dates scheduled. I could first Remove All Events to clear out the old performances and then Add Multiple Events to schedule new performances, every Friday evening for the remainder of the year.
